What is Equilia?
Equilia is an AI-powered omnichannel communication platform that helps businesses deploy intelligent virtual assistants across web chat, WhatsApp, phone calls, video interactions, and physical kiosks. Our AI assistants handle customer inquiries, bookings, and support requests around the clock — in multiple languages.
Businesses use Equilia to let their AI assistants draw on internal knowledge — including past email correspondence — when answering questions. The Google Mailbox integration is what enables these assistants to search a business's indexed email content in real time via the Gmail API.
How the Google Mailbox Integration Works
Business connects a Google mailbox
A business administrator connects their own Gmail or Google Workspace mailbox to Equilia through a standard Google OAuth authorization flow. Google mailbox connections are always the connecting administrator's own mailbox — Equilia cannot access another person's Gmail account. Only the business administrator grants this permission — it is never requested from end users or customers.
Emails are indexed for search
Equilia periodically syncs new messages from the connected mailbox and indexes their content, enabling fast search over the mailbox's history. Deleted messages are automatically removed from the index on the next sync.
AI assistant answers questions using indexed emails
When answering a question that requires looking something up in email, an Equilia AI assistant searches the indexed mailbox content on behalf of the business and uses the relevant messages to inform its answer.
What Data Equilia Accesses
Equilia only accesses Google mailbox data for the specific mailbox the business administrator explicitly connects. No data from other accounts or mailboxes is ever read or stored. This integration is read-only — Equilia cannot send, delete, or modify messages in your mailbox.
Read email messages
Index the subject, sender, date, and body of messages in the connected mailbox's inbox so the AI assistant can search them.
Read basic profile info
Confirm the connected mailbox's address via the account's basic Gmail profile.
Detect message deletions
When a message is deleted from the connected mailbox, it is removed from the search index on the next sync.
How Equilia Uses Your Data
- ✓Email data is used exclusively to answer questions asked through the Equilia AI assistant for that specific business.
- ✓Access tokens are encrypted at rest and are never shared with third parties.
- ✓Equilia does not transfer or sell Google mailbox data to any other service.
- ✓Businesses can revoke access at any time from within the Equilia dashboard or directly from their Google Account permissions page. Revoking access stops future syncing, and previously indexed content is deleted from Equilia.
- ✓Equilia's use of data received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
